현하였을뿐 아니라 그러한 아름다운 자연미가 우리를 보다 성숙하게 변화시킬 수 있음을 나

비즈니스 서한작성- 유용한 팁 - 12

비즈니스 서한을 작성할 때 필요한 문구를 여러 주제로 분류하여 정리해 보았다.
주제에 맞게. 즉, 헤드, 본문 맺는 말 등등 비즈니스 서한 작성시 꼭 필요한 구문을 분류하였으니 유용하게 사용하면 될 것이다. 

[ 거절 Tips ]
☞ 현안 중인 이야기는 아직 결정된 것이 아니므로 potential 이나 possible을 붙인다. 일반적으로  말해서 potential을 붙이는 것은 이야기를 진행시키고 싶을 때이다. 상대의 제안
☞ to the best of our knowledge나 obviously는 없어도 의미는 통하지만 덧붙임으로써 거절의 어세를 부드럽게 하는 효과가 있다. 금후에도 어떤 관계를 유지하고 싶은 경우에 특히 간결을 생명으로 하는 상업문이라도 이와 같은 배려가 필요하다.
☞ 분명한 거절 - staff and I : 혼자가 아니라 여럿이서 검토했다는 뉘앙스. very carefully : 충분히 검토했음을 나타낸다. reach the conclusion : 결론에 도달하다. decide가 아니라 이 표현을 사용함으로써 결정까지의 우여곡절을 느끼게 한다.
☞ It does not appear that : ~할 것 같지 않다. 거절을 부드럽게 하는 완곡 표현.
☞ suggest : 어디까지나 「제안」 이상의 것이 아니라고 도망갈 길을 남겨 놓는다.
☞ possible을 삽입함으로써 「아직 결정하지 않았다」는 것을 나타내고 도망갈 길을 남긴다.
☞ Had we been : =If we had been. 가정법으로 거절을 위한 포석을 한다.
☞ not in a position to : 이것은 can not보다 금후의 상대방과의 관계를 배려한 거절 방식.

 

[ Grammar Tips ]
☞ 동사 sell에 관해서. 「잘 팔리고 있다」라고 할 때 They have sold very well. 또는 They have been sold successfully라고 하는데 이 두문장에서 well과 successfully를 바꿀 수는 없다.
☞ This material is being provided free of charge는 「무료로 보냅니다」라는 의미지만 진행형으로 했기 때문에 이번은 무료지만 다음은 알 수 없다는 뉘앙스이다.
☞ is provided 로 하면 언제나 무료로 보내고 있다는 뜻.
☞ 결론을 나타내는 부사(구)는 consequently외에 therefore, as a result, thus가 있다. 이 중에서 thus는 보통의 서신에서 사용하면 과장이 된다.

 

[ BUSINESS LETTERS ]
There are many different kinds of business letters. Among the most useful ones to know are the letter of request, the letter of complaint and adjustment, and the order letter.
The following is a list of things to remember when writing a business letter:
  1. A business letter should always be typed, if possible. (If you must write it, use a pen and dark ink. Never write a business letter in pencil.)
  2. Use plain white paper (stationery).
  3. Be sure your letter is neat and attractive.
  4. Write on only one side of the paper. If you need more paper, use a second sheet.
  5. State all the necessary information clearly and briefly without omitting important details.
  6. State the purpose of the letter at the beginning. Be sure that the rest of your letter is related to that purpose.
  7. Be courteous and friendly.
  8. Your envelope should match your stationery.
  9. Be sure your return address is in the upper left hand corner of the envelope.
  10. Proofread each letter before you mail it.
  11. Make a copy of the business letter for your own file.

[ General Business Tips ] 
☞ Taking this opportunity I wish to again convey my personal thanks for your kind patronage.
   「되풀이 사례하고 싶습니다」의 뜻으로 I wish to repeat my thanks라고 하는 것은 바람직하지 못하다. repeat라는 단어는 단순한 반복을 의미하기 때문에 감사의 마음이 담겨져 있지 않      는 것처럼 느껴지기 때문이다
☞ 주어에 We를 쓰는 것은 인간미가 없으며 때로는 차가운 인상을 주기도 한다.
☞ I는 personal한 인상을 주며 지위가 높은 사람이나 상대방과 인간 관계를 쌓아 가고 싶은 기분을 나타내고 싶을 때 사용하며 효과적이다.
☞ 일반적이고 형식적인 Sincerely yours를 쓰지 않고 With best regards로 친밀감을 표시하는 것으로 새 계약에 대한 적극적인 자세를 나타내고 있다.
☞ furnish (사람)with~ 상대방에게 제공한다는 뉘앙스로 send보다 세련된 표현이다
☞ like you는 당신처럼 「훌륭한 사람」이라든지 「멋진 사람」이란 뉘앙스이다
☞ It is felt : ~라고 생각되다. We feel과 같은데 앞 문장이 we로 시작되었으므로 we가 계속되 는 것을 피하고 있다.
☞ It would help us나 It would be helpful은 상대방에게 완곡하게 협력을 요구할 때의 표현으로  강요하는 느낌을 주지 않는다
   에 대해서 possible을 붙이는 것은 거절하고 싶을 때가 많다.
☞ 퇴직한 사람에 관해서 언급할 때는 ~is no longer associated with us가 감정이 들어가지 않는 businesslike한 표현으로 알맞다.
☞ executive plan : 이 서신에서는 출장 등으로 체류하는 사람을 위한 호텔 요금 할인 계획. 즉, 이 계획을 이용해서 이득이 되는 쪽의 방을 잡았다는 성의를 나타내고 있다.
☞ We at(회사명): 회사명으로 시작하는 것보다는 따뜻한 느낌이며 I로 시작하는 것보다는 격식을  차린 느낌이다.
☞ either ~  or ~ 나 whichever는 상대방에게 선택권을 주어 mutually가 아니라 상대방 형편에  맞추겠다는 이쪽의 유연한 자세를 나타내고 있다.
☞ standard distribution contract의 standard는 위력이 있는 단어다. 규정으로 되어 있다는 권위를 나타내는 동시에 몇 번이나 이와 같은 거래를 손수 취급했다는 것을 나타내고 있다.
☞ wish to : 이것은 want to 보다 정중한 느낌이 있다.
☞ history of : ~의 경력, 실적.
☞ improving international communications / all possible success / your endeavors : 이 표현들은 거절한 뒤의 상대방 기분을 북돋우는 데 도움이 된다.
☞ have been thoroughly reviewed : 현재완료형으로 시간을 들여서 검토했음을 나타낸다.
☞ The problem would be: 문제가 되는 것은~일 것이다. 가정법으로 부드럽게 하고 있다.
☞ Please let us know the amount as soon as possible if payment is required in advance.
   if 절을 주절 뒤에 가져오는 쪽이 businesslike한 표현이다.
☞ marketable : 시장성이 있는. sell well이나salable보다 businesslike한 말.
☞ 여기는 if~절을 뒤로 놓는다. If~로 쓰기 시작하며 「만약~라면」이라는 기분이 지나치게 강해서 businesslike한 느낌이 없어지고 만다.
☞ Your request to raise: 통고가 아니라 “request” 라는 단어를 써서 일방적인 가격 인상을 하지 못하도록 하고 있다.
☞ One of the main reasons: 많은 이유가 있다는 기분을 나타낸다.
☞ encourage는 상대방을 위해서 권하는 느낌으로 각각 입장이나 상황에 따라서 가려 쓴다.
☞ surprise → astonishment → amazement의 순으로 놀람의 강도가 더해진다.
☞ usual : 언제나와 같은. “이번에도” 라는 뉘앙스.
☞ 상대방에게 확인을 부탁할 때, please confirm → we would like you to check → we would      very much appreciate your checking의 순으로 공손한 표현이 된다.
☞ Please send us a complete report on the sales and earnings to date.
   due로 「당연히」라는 뉘앙스가 나온다.
☞ straighten out: 해결하다. solve보다 구어적이며 과장된 느낌이 들지 않는다.
☞ In this regard, However, Consequently, For this reason은 논리적 전개를 위한 신호.
☞ a $6,200.00 outstanding balance를 같은 서신에서 되풀이할 경우 두 번째 이후는 정관사를 써서 the $6,00.00으로 한다. 동일어의 반복을 피하기 위해서 the amount concerned(문제의 금액)  라는 표현을 쓰기도 한다.
☞ making this all possible: all로 「모두 당신 덕분」이라는 뉘앙스.
☞ As a matter of first priority: 무엇보다도 먼저. 즉시 서신을 쓰고 있는 이유로 이끈다.
☞ not only ~ but also: as well as를 쓰지 않고 이 표현을 사용한 것은 「환대에 대한 사례」와   「참가 의사에 대한 사례」의 양쪽을 모두 강조하고 싶기 때문이다.
☞ It should provide a rough frame of reference for prices in your general area.
☞ It should : ~할 것이다.
☞ It will 이면 「틀림없이」란 느낌이 되지만 should는 약간 애매한 데가 있다.
☞ Enclosed is an English version which we hope will prove of some use. some을 사용한 것은  상대방이 희망한 것이 아니기 때문.
☞ 영문 서신에 있어서도 형편이 나쁜 것을 알릴 때는 표현을 애매하게 하는 경우가 있다. 예컨대     「유료」를 알리는 경우 「무료가 아니다」라고 뒤집어서 말하거나 보통 free of charge라고      할 것을 gratis라고 딱딱한 표현을 고의로 사용하고 있는 것이 그 예이다.
☞ I will be using: use를 진행형으로 함으로써 임박했다는 느낌이 들며 현실감이 난다.
☞ 1. would you kindly ~「해 주시지 않겠습니까」라든지
   2. please let me know if ~「해주실 지 어떨지 알려주시오」 보다는  1. 은 be very much  appreciated~, 2. 는 I wonder if~로 해서 적극적인 의뢰 방식으로 한다.
☞ 누구나 알고 있는 유명한 호텔이나 레스토랑, 은행, 회사, 등의 이름에 the를 붙이면 「그(저)  ~」라는 뉘앙스가 나온다.」 e.g. the New Crown, the Hilton Hotel. the Ford Company.
☞ this time: 이번에는. 다음 기회가 있으면 돕겠다는 뉘앙스.
☞ However, Therefore, Thus 등 이론을 전개할 기능이 있는 부사는 문두에 놓는다. 문중에 콤마 를 찍고 삽입하는 것은 문학적이다.
☞ unfortunately, actually, consequently 등의 부사는 논리적인 전개를 위한 신호가 된다.
☞ some other way가 아니라 any other way로 하면 1.「이 외에도 있으면」혹은 2. 「조금이라도 있으면」이라는 뉘앙스가 된다.
☞ What we are after are people who are looking for a lifetime career.
   거절의 경우에 고의적으로 개인적인 입장을 피하고자 할 때는 법인의 입장을 나타내는 we 를  흔히 사용한다.
☞ be kept on active file: 서류철에 남겨 두었다. active는 「실제로 활용하는」정도의 의미이며 상대방을 높이 평가하고 있는 적극적인 느낌이 전해진다.
☞ urgent matter는 애매하지만 무게가 있는 어구이다. 이 외에 urgent business, pressing need도 사용할 수 있다. 단 이들 어구는 회사가 기밀에 관한 듯한 중요한 느낌이 있기 때문에 지위가  높은 사람밖에 쓸 수 없다.
☞ please convey my best wishes to your son and his bride. 결혼하는 여성(및 여성측 사람)에 게 congratulate라든지 congratulations는 사용하지 않는다. 「노력한 보람이 있어 요행스럽게도 신랑을 붙잡는데 성공하셔서 축하합니다」라는 뉘앙스로 되기 때문이다.
   best wishes to ~나 wish~every happiness등을 사용하면 좋다.
☞ long-standing commitment: 오래 전부터의 약속. 선약을 이유로 애매하게 거절한다.
☞ On the other hand: 그런데, 한편으로는. by the way로 하면 전혀 별개의 화제를 덧붙이는 뉘앙스이기 때문에 이 경우에는 적당치 않다.
☞ get together with: 만나다. 구어적이며 see보다 따뜻한 맛이 나는 표현,

☞ more than equal to는 「~에 대해서 그것을 상회하는 역량이 있는 것」을 가리킨다. 한편  equal to만으로는 「~와 동등한 역량」이라는 뜻이며 그것을 상회하는 여유를 느낄 수가 없다. 같은 것을 enough에 대해서도 말할 수 있다.
☞ more than enough에는 충분한 느낌이나 여유가 담겨져 있는데 비해서 enough만으로는 「필요 에 족할 만큼」이라는 뉘앙스가 있으며 한국어의「충분」이 갖는 뉘앙스와는 다른 점에 유의.
☞ every를 붙여서 성공을 기원하는 기분을 강하게 하고 있다.
☞ I should very much like to visit you when the occasion permits.
   보통 will이나 would를 사용할 자리에서 shall이나 should를 사용하면 사장수준의 서신에 어울리는 공식적인 스타일이 된다.
☞ To begin with: 우선 먼저. 통상 업무에서는 불필요한 문구지만 여기서는 personal 한 분위기를 내고 있다.
☞ If you would like to participate: 참가 희망자는. 강압적인 느낌이 없고 상대방에게 판단을 맡기고 있다.
☞ Thank you again for giving us the pleasure of serving you.
   서비스업에 종사하는 사람은 꼭 기억해 둘 문장.
☞ It would be nice if you could let me know either way at an early date.
   무리인 줄 알면서도 의뢰하고 싶을 때는 상대방에게 거절할 틈을 주지 않는 표현으로 한다.
☞ We know this matter has caused you some inconvenience but hope you will understand the circumstances.
   말의 선택에 따라 부드러운 분위기를 낼 수 있다. 여기서는 inform 대신에 let someone know 를, proceed with 대신에 move ahead with를 사용하고 있다.
☞ a letter of credit을 약어로 표시라면 an L/C 가되어 관사가 변하는 데 주의할 것.
☞ 친숙함을 나타내는 데는
   1. first name에 의한 호명.   2. I’m 따위 단축형의 사용.  
   3. 구어적 어구의 선택 등의 방법이 있다.
☞ If so : 만약 그렇다면. Should this be the case라고 하는 것은 너무 장황하다.
☞ open은 interested의 variation.
☞ 요청을 나타내는 영어 3종류. request는 이쪽으로부터의 일방적인 부탁. urge는 상호를 위하고.
☞ Just a line to let you know that:~라는 것을 알리려고 잠깐 붓을 들었다. line은 짧은 소식, Just앞에 This is가 생략되어 있다.
☞ The period coincides with several national holidays: 이 기간은 국경일과 일치한다.
  「일류의」라는 형용사는 기업․회사에 대해서는 leading, 레스토랑․호텔에 대해서는 first-class를 사용한다.
